The short version
You pay $29/month for VENDBase, or $19/month for life if you locked in a founding seat. No contracts — cancel anytime. Your data is yours. We use your HAHA credentials only to run your dashboard. If you cancel, we offer a free read-only tier; if you decline, syncing stops and we delete your data after 90 days. We never sell your data or share your numbers with anyone else.
1. What VENDBase is
VENDBase is a dashboard and assistant for vending operators using HAHA AI machines. It syncs your sales, inventory, and machine data from HAHA's API (using credentials you provide) into a private database that only you can access, and shows you profit, restock, and customer-pattern insights on top of it.
VENDBase is an independent product. We are not affiliated with, endorsed by, or part of HAHA. Their app and terms are theirs.
2. Pricing and cancellation
$29/month flat, unlimited machines. Founding operators who locked in the $19/month founding rate keep that rate for life; everything else on this page applies to them the same way. No setup fee, no contract, no minimum term. Cancel anytime by telling us — cancellation takes effect at the end of your paid month, and no further charges occur.
3. Your data and how we use it
It's your business data. Sales, inventory, costs, mileage, receipts — all of it belongs to you. You can ask for an export at any time.
Your HAHA credentials are used for exactly one purpose: syncing your machine data to run your VENDBase service. We never use them for anything else, and we stop using them when your service ends (see §5).
Each customer is isolated. Your data lives in its own private database. No other VENDBase customer can ever see your numbers.
Anonymous shopper patterns. HAHA's system assigns anonymous IDs to repeat purchases at your machines. VENDBase uses these to show you repeat-customer insights (regulars, visit frequency). These IDs contain no names, emails, or contact information, and we never attempt to identify anyone behind them.
Anonymized benchmarking. We may combine data across VENDBase customers into anonymized, aggregated statistics (for example: "drinks at gyms outsell snacks 2 to 1") to improve recommendations for everyone. These aggregates never reveal your identity, your locations, or your individual numbers, and are never sold. If you don't want your data included even anonymously, tell us and we'll exclude it.
What we learn from how you use it. So we know what to improve, VENDBase keeps a simple tally of which screens get opened. Screen names only, never your business data, never anything you type, and never sold. If you would rather we skipped yours, just say the word.
We never sell your data. To anyone, in any form.
4. AI features
The VENDBase assistant reads your own data to answer your questions and makes advisory suggestions (restocking, layout, pricing). Suggestions are guidance, not guarantees — you know your route; use your judgment. Your questions to the assistant may be logged (question text only) to improve the product.
5. When service ends
If you cancel (or payment stops), you choose:
- Free tier: your dashboard drops to read-only and syncing continues, so your history stays alive and current. Free, no obligation, come back anytime.
- Full stop: we stop syncing immediately — your HAHA credentials are no longer used — and keep your data for 90 days so you can reactivate with nothing lost. After 90 days, your data and stored credentials are permanently deleted. Anonymized aggregate statistics already computed (which contain nothing identifying you) may be retained.
6. Security
Your instance is protected by signed, expiring login sessions, rate-limited logins, and per-customer isolation. We never publish or share your credentials. No system is perfectly secure — use a strong password and keep it private.
7. Honest limits
VENDBase depends on HAHA's API. If HAHA's data is late, wrong, or their API changes or goes down, VENDBase's numbers can be affected — we'll do our best but can't guarantee their systems. VENDBase is provided as-is; our liability is capped at what you've paid us in the last 12 months. Don't use VENDBase's numbers as your books of record for tax filings without checking them.
8. Changes
If these terms change in any way that matters, we'll email you before it takes effect. Continuing to use VENDBase after that means you accept the update.
